Privacy Policy — Otto Receipts

Last updated: October 5, 2026

Otto Receipts is operated by Yeung Gerrard Group Inc. (“we,” “us,” “our”), a company incorporated in British Columbia, Canada.

This policy explains what information Otto Receipts collects, why we collect it, and what choices you have. If you have questions, contact us at team@youragentos.ai.

Information we collect

Account information

When you sign in with Google or Apple, we receive your email address, name, and a unique account identifier. Google sign-in also provides a profile picture URL. If you use Sign in with Apple and choose to hide your email, we receive Apple’s private relay address instead. We do not receive your password.

Receipt images and expense data

When you photograph or upload a receipt, the image is compressed on your device and uploaded to our storage. We store the image and the information extracted from it — merchant name, date, total, tip, tax amounts (GST/PST/HST), the vendor’s GST/HST registration number, line items, payment method, and any category or notes you add. We also store payee records you create.

To extract those details, our server sends the compressed image to Google’s Gemini API. This happens entirely server-side; your device never communicates with the Gemini API directly. See “Third parties” below.

Meal details

For meal and entertainment expenses, you can add a business purpose and the names of attendees. These fields may include the names of other people. Please enter only what you need for your records.

Mileage and vehicle records

When you log a trip, we store the date, distance, purpose, and the “from” and “to” locations. Locations are typed in by you; Otto Receipts does not use GPS or collect your device’s location. You can also create saved places (for example, “Home” or “Work” labels, with an optional address) to fill in trips faster. We also store the yearly odometer readings you enter.

Usage information

We store a count of receipts you have saved, which is used to determine when advertisements are shown to users on the free plan.

Reminder notifications

If you turn them on, Otto Receipts can show optional reminders to record your odometer reading. These are local notifications scheduled on your device. No data is sent to us or any third party to deliver them, and you can turn them off at any time in the app or in your device settings.

Advertising identifiers

For users on the free plan, we display advertisements through Google AdMob. Advertisements are only requested for free-plan users; if you subscribe to Otto Pro, no ad requests are made from your device at all.

The Google Mobile Ads SDK collects information described in Google’s own SDK disclosures, which generally includes IP address, device model and operating system, app identifier, diagnostics, and — for personalized ad requests — an advertising identifier.

On iOS, we show Apple’s App Tracking Transparency prompt once on first launch, before the ads SDK initializes. If you grant tracking, ad requests are personalized. If you decline or dismiss the prompt, every ad request is explicitly sent as non-personalized. Apple’s SKAdNetwork (a privacy-preserving attribution system) is enabled.

On Android, there is no App Tracking Transparency prompt, and ads are currently personalized using the Google Advertising ID.

Purchase information

Subscription purchases are processed by Apple (App Store) or Google (Google Play). We do not receive or store your payment card details.

We use RevenueCat to manage subscription status. We send RevenueCat only an opaque account identifier — never your email, name, or any other profile attribute. RevenueCat also receives the store’s purchase receipt and transaction data, along with standard device and app metadata that its SDK collects, as described in RevenueCat’s own documentation.

How we use your information

  • To provide the core function of the app: storing, organizing, and exporting your receipts, expenses, mileage, and vehicle records
  • To read receipt images and extract expense details automatically
  • To determine whether you are on the free or paid plan, and to show or hide advertisements accordingly
  • To respond to support requests

We do not sell your personal information. We do not use your receipt images, expense data, or mileage records to train AI models, and we do not use them for any purpose other than providing the app to you.

We do not use analytics or crash-reporting services of any kind.

Third parties we share data with

We share only what is necessary for the app to function:

  • Google (Gemini API) — Acts as a subprocessor for receipt extraction. Our server sends the compressed receipt image and an extraction prompt to Google’s Gemini API, which returns structured data. We use the Gemini API as a paid service (through a Google Cloud project with active billing). Under Google’s Gemini API Additional Terms of Service, for paid services Google does not use prompts or responses (including files such as images) to improve its products, and processes them under its data processing terms as a data processor. Google does log prompts and responses for a limited period of time, solely to detect and prevent violations of its Prohibited Use Policy and for any required legal or regulatory disclosures. This data may be stored briefly or cached in any country where Google or its agents have facilities. See ai.google.dev/gemini-api/terms.
  • Convex — Our backend and database provider. Your account data, receipt images, expense records, and mileage and vehicle records are stored on Convex infrastructure.
  • Google AdMob — Serves advertisements to free-plan users. See Google’s privacy policy at policies.google.com/privacy and Google’s Mobile Ads SDK disclosures.
  • RevenueCat — Manages subscription entitlements. See revenuecat.com/privacy.
  • Apple / Google — Process subscription payments and handle sign-in.

We may also disclose information if required by law, or to protect our rights or the safety of others.

Data retention and deletion

Free plan: receipt photos are deleted 90 days after you upload them. The details we read from each receipt (merchant, date, amounts, taxes, GST/HST number, notes), along with your mileage and vehicle records, are kept for as long as you have an account.

Otto Pro: receipt photos are kept for as long as your subscription is active. If your subscription ends, photos older than 90 days are deleted, just like on the free plan. Your receipt details stay.

Because receipts may be needed for tax purposes, we recommend exporting your data (via the CSV export in the app) regularly and before deleting anything.

Copies of your data may also exist in periodic operational backups we take of our database and file storage. Deletion requests are applied to the live system; backup copies age out over time.

You can delete your account and all associated data at any time in the app under Settings > Delete my account. You can also email us at team@youragentos.ai and we will process the request and confirm once deletion is complete.

Note that Canadian tax rules generally require businesses to retain supporting records for six years. Deleting your data from Otto Receipts does not satisfy or replace your own record-keeping obligations — keep your own copies of anything you may need.

Data storage and location

Your data is stored on infrastructure operated by our service providers, which may be located outside of Canada, including in the United States. By using Otto Receipts, you consent to this transfer.

Security

We use industry-standard measures to protect your data, including encrypted connections, authenticated access, and per-user access controls so that one user cannot access another user’s receipts or records. No system is perfectly secure, and we cannot guarantee absolute security.

Children

Otto Receipts is intended only for people 18 and older. It is not directed at anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.

Your choices

  • Advertising: On iOS, you can change tracking permission at any time in Settings → Privacy & Security → Tracking. Subscribing to Otto Pro removes advertisements entirely.
  • Reminders: Odometer reminders are optional and can be turned off at any time in the app or in your device’s notification settings.
  • Access and correction: You can view and edit your expense, mileage, and vehicle records directly in the app.
  • Export: You can export your data as a CSV file at any time from within the app.
  • Deletion: Delete your account and all data in the app under Settings > Delete my account, or email us at team@youragentos.ai.

Under British Columbia’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to access the personal information we hold about you and to request corrections.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in the app.
